What it does

This refund policy generator writes a refund and returns policy for an online shop from a few answers: the return window, how long customers have to report damage, how fast you refund, who pays return postage and how refunds are paid. You can add sections for exchanges, sale items, digital products and the legal right to cancel that consumers in the EU and UK have. The result comes as Markdown and HTML to copy or download, and nothing you type leaves your browser.

How to use it

  1. Enter your store name, website, a returns email and the address returns should go to.
  2. Set the three time limits: the return window, the time to report damage and how quickly you refund.
  3. Choose who pays return postage and how refunds are paid.
  4. List items that cannot be returned, one per line, and tick the options that apply.
  5. Replace every placeholder in square brackets, then publish the text and link it from your footer and checkout.

How to read the result

This is a starting template, not legal advice. Laws differ by country and change; have a lawyer review the text before you publish it.

With the default settings, a 30-day return window, 7 days to report damage, refunds within 10 days and exchanges switched on, the policy has 8 sections and 3 placeholders. Two of them are choices only you can make: whether you add a returns authorisation number, and whether the original delivery charge is refunded. The third is the date at the top.

Tick "Sells to consumers in the EU or UK" and a section on the legal right to cancel appears, taking the policy to 9 sections. If you then set the return window below 14 days, a red badge warns you, because the policy would promise less than the law gives those customers.

Read the "Items we cannot accept back" list carefully. Hygiene items, personalised goods and perishables are often excluded, but exclusions do not apply when an item is faulty, and the policy says so.

We build online shops with clear returns flows and policy pages as part of e-commerce development. For the other pages your checkout should link to, use the terms of service generator and the privacy policy generator.

Questions

Frequently asked.

Do I have to offer refunds at all?

It depends on where you and your customers are. Most countries give consumers rights that a shop policy cannot remove, such as a remedy for faulty goods, and the EU and UK give consumers 14 days to cancel most online orders. Your policy can be more generous than the law, but not less. Check the rules for each market with a lawyer.

How long should my return window be?

If you sell to consumers in the EU or UK, no shorter than the 14-day legal right to cancel. Beyond that it is a business choice. A longer window can make people more willing to buy, but more stock comes back later and may be harder to resell. Pick a period you can honour every time.

Should customers pay for return postage?

Many shops charge for change-of-mind returns and pay when an item is faulty or wrong, which is the default in the generator. Free returns cost more but remove a reason not to buy. Whatever you choose, say it clearly before checkout, because a surprise charge after the order is a common source of complaints.
