What it does

This email signature generator builds a professional HTML signature from your name, job title, company, contact details, logo and social links. It uses tables and inline styles only, because email apps strip style sheets and many ignore modern layout, so the design holds up in Gmail, Outlook and Apple Mail. You see a live preview as you type. Copy signature puts formatted content on your clipboard, ready to paste into your email settings, and Copy HTML gives you the raw code. Without a hosted logo, a square with your initials in your accent colour takes its place.

How to use it

  1. Fill in your name, job title, company and contact details. Leave a field empty to hide that line.
  2. Paste a public https link to your logo, or leave it empty to use initials.
  3. Pick an accent colour and add any social profile links.
  4. Click Copy signature and paste it into your email app's signature settings, following the steps in the questions below.

How to read the result

With the default details, the signature HTML is about 2,300 characters, well inside Gmail's 10,000-character limit. The size figure turns red if you go over; the usual cause is a very long tracking link, so shorten it.

The code looks repetitive because every line carries its own font, size and colour. That is deliberate: Outlook on Windows renders email with a word processor engine and often drops inherited styles, so each paragraph has to say what it wants. A logo set to display at 80px wide stays sharp on high-density screens if the file itself is about 160px wide.

If Copy signature reports that only the HTML source was copied, your browser blocked formatted copying. Select the preview with your mouse, copy it, and paste that instead.

How do I add the signature in Gmail?

Click Copy signature. In Gmail, open Settings, then See all settings, and scroll to Signature on the General tab. Click Create new, name it, and paste into the box. Under Signature defaults, choose it for new emails and replies, then click Save Changes at the bottom of the page.

How do I add the signature in Outlook?

Click Copy signature. In the new Outlook or Outlook on the web, open Settings, then Accounts, then Signatures. Create a new signature, paste it in, set it as the default for new messages and replies, and save. In classic Outlook for Windows, the same screen is under File, Options, Mail, Signatures.

How do I add the signature in Apple Mail?

Click Copy signature. In Apple Mail, open Mail, then Settings, then Signatures. Select your account, click the plus button and paste into the right-hand panel. Untick "Always match my default message font", or Mail will replace the signature's fonts and colours with your default style.

Why does my logo not show for some people?

Many email apps block remote images until the reader allows them, and some corporate filters never load them. Host the logo on your own website over https, keep the file small, and make sure the signature still reads well without it. The alt text shows your company name when the image is blocked.
