Choosing

Should you use menus, AI answers or both?

Start with the task. A menu-and-button bot suits fixed requests such as opening hours, booking an appointment or checking an order. It gives you a defined set of paths to review. AI answers are useful when customers ask varied questions in their own words, but they need prepared source content, testing and clear limits on what the bot should answer. You can use the nature of your enquiries to decide where each approach fits.

There is a platform decision too. A chatbot uses the WhatsApp Business Platform and an API to send and receive messages; it is a different product from the WhatsApp Business app used for manual conversations. You can build directly on Meta's Cloud API or use a solution provider that adds billing, integration support and customer support. With a provider, a business already using the app can connect its number to the Cloud API, keep replying to individuals in the app and keep chat history in sync.

Market

What customers in the Netherlands may expect

Your customers need a chat that reflects how they already buy or book. Retailers and online stores need order confirmations, delivery updates and answers to order-status questions. Appointment businesses need booking and reminder flows that reduce the need for staff to answer every message.

Dutch is the official language, while Dutch and Frisian are both official languages in Fryslân. Choose the language of the questions and answers with your audience in mind. For an online shop, we can capture an order in chat and pass it to your order system; map the checkout to the way customers pay on your website. iDEAL | Wero lets consumers pay directly through their own bank.

Rules

What the project needs to handle in the Netherlands

If your website collects chatbot opt-ins, we set up wording that names your business and states that the person is opting in to messages. You can collect that permission on a website form or at checkout. If the website also uses tracking cookies, we set up a consent banner that asks for explicit consent before those cookies are set, without pre-ticked boxes or a cookie wall. Consent to tracking and consent to receive messages need separate attention in the build.

How it runs

How a WhatsApp chatbot project runs with us

We work remotely over video calls, WhatsApp and shared project boards. India is 4h30m ahead, or 3h30m during Central European Summer Time, from the last Sunday in March to the last Sunday in October. We use the shared board to keep questions and decisions visible across that difference.

  1. 01

    Map replies

We plan what happens when a customer messages you. Each new customer message opens or resets a 24-hour customer service window, during which the bot can reply freely; outside it, replies must use approved templates.

  2. 02

    Plan outgoing messages

You identify the updates, reminders or offers you want to start. We organise their templates as marketing, utility or authentication messages so the purpose of each one is clear.

  3. 03

    Connect your systems

We set up the route for leads and orders to reach your CRM, sheet or order system. You identify where your staff need to see each item.

  4. 04

    Test with staff

Your team runs real questions, orders and bookings through a test number. We check handovers to a person and confirm that leads and orders arrive in the connected systems.

Checklist

What to have ready before we talk

Bring these details so the registration and chat scope have a clear starting point.

  • Account accessHave an administrator at your business hold access to your own Meta business portfolio.
  • A numberChoose a business-owned number with its country and area code that can receive a verification call or SMS.
  • Product detailsCheck what you sell against restricted categories, including alcohol, tobacco, drugs, medical and healthcare products, gambling and dating services.
  • A display nameChoose the name for registration; it appears in chats and the chat list after Meta approves it.
  • A registration choiceIn standard registration, a number already on WhatsApp must be deleted from WhatsApp before platform registration.

Cost & time

What affects the cost and timing of development

The work involved and the running charges depend on what the chatbot handles and how you use it.

  • Message mix

Meta charges per delivered message, with rates based on the message category and the recipient's country code.

  • Catalogue changes

The size of your catalogue and how often prices or stock change determine whether product data needs automatic syncing.

  • Template approval

Templates are reviewed when created or edited, and only approved templates can be sent. Draft and submit them early in the build.

  • Messaging limits

New business portfolios have a limit on unique users messaged outside the service window. Business verification is one route to a higher limit, subject to Meta's quality review.

Avoid

Mistakes to avoid with your chatbot

  • Sending unexpected messages

Collect opt-in from people who want messages from your business. Blocks and reports can lower quality and lead to rate limits.

  • Missing a stop request

Respect opt-outs made on or off WhatsApp and remove the person from your contact list.

  • Calling an offer a utility message

Keep utility templates non-promotional. WhatsApp can change a promotional template's category to marketing.

  • Asking for sensitive details

Do not request full payment card, financial account or personal ID card numbers in chat. For clinics, keep the bot to bookings and general questions instead of collecting health details.

Questions

Asked by businesses in Netherlands

Page updated 5 November 2026

How much does WhatsApp chatbot development cost?

There is no fixed price. The main drivers include using fixed menus or AI over your own content, the preparation and testing AI needs, and integrations with a CRM, booking or order system. The availability of usable APIs also affects the work. Once the scope is agreed, ask us for a free quote.

Can the chatbot use AI to answer customer questions?

AI can support your own business service, subject to Meta's platform terms. Those terms bar AI providers whose primary offering is a general-purpose assistant, while AI incidental or ancillary to a business's service falls outside the ban; Meta decides which is which. This distinction helps define what the proposed bot is there to do.

Can customers place orders or book appointments in the chat?

Yes. We build catalogues, order capture and appointment booking inside the chat. You can decide which products or appointment choices customers should see and what information the conversation needs to collect, so staff receive an order or booking that fits the way your business works.

Who owns the work after launch?

You own your domain, content and code, with no lock-in. That gives you ownership of the material and code produced for your project. Agreeing the scope with us gives you an opportunity to identify the content you will provide and the work you want included before development starts.

What should we review after the chatbot launches?

Review handovers and unanswered questions, then add missing answers or flows. Track conversations started, resolved without staff and handed over, along with completed orders or bookings and opt-outs. Check template quality ratings too: templates receiving negative feedback or low read rates can be paused or disabled, so rewrite or retire ones that draw complaints.

Can the chatbot help our sales team handle enquiries from ads?

Yes. For a real estate or travel business, a chat flow can capture a lead from an ad, qualify it with a few questions and pass it to sales staff. Decide what your sales team needs to know before taking over, so the questions in the flow have a clear purpose.
