Choosing
Should you start with answers or actions?
Start with an answer-only agent when people ask varied questions and the answers already exist in your documents. It is the lower-risk option: the agent gives information without changing records. You still need someone to keep the source material current and a set of real questions to check its answers.
A hybrid agent suits a support desk dealing with routine requests and unusual questions. Buttons give people a structured route for booking or checking an order, while AI handles free-text questions. A person remains available behind both routes. Think about which tasks have predictable inputs before deciding how much of the conversation needs free text.
An agent that changes records, issues refunds or takes payments needs tighter permissions, confirmation steps and more testing. That gives it a wider role in your operations, but adds work to define what it is allowed to do and when. Agree those boundaries before treating an action as part of the initial scope.
Market
What buyers in the Netherlands expect
Online stores need clear answers about delivery, returns and order status. Connecting an agent to the order system gives it a route to the information needed for an order query; complaints and refunds need a route to staff.
For clinics, salons and other appointment businesses, common questions and bookings do not stop at closing time. An agent can handle appointment requests outside opening hours, including requests to move or cancel a booking.
Property, travel and hospitality businesses also receive enquiries at night and at weekends. Decide what the agent should answer during those periods and how it should leave the conversation for your team when a reply needs a person.
Rules
What your project in the Netherlands has to handle
Dutch is the official language, and Dutch and Frisian are both official languages in Fryslân. Plan the agent's source answers in the language your audience needs; if you serve people in Fryslân, agree whether Frisian belongs in the scope. We set up the approved content the agent will use for those answers.
If your website uses tracking cookies, the build needs explicit visitor consent before those cookies are set. We set up a consent banner without pre-ticked boxes or a cookie wall. Functional and qualifying analytical cookies have different consent treatment, but visitors still need to be informed.
How it runs
How an AI agent project runs with us
We work with you remotely through video calls, WhatsApp and a shared project board. IST is 4h30m ahead, or 3h30m during Central European Summer Time. The shared board gives you a place to review work and leave feedback across that difference.
- 01
Discover
We learn about your business, audience and goals, then agree the scope with you. Bring the questions and tasks you want the agent to handle, along with the outcomes you want to review.
- 02
Build and review
We connect the agreed sources and write the agent's instructions and limits. You review draft answers for accuracy and tone before anyone outside your organisation sees them.
- 03
Test
We use a fixed set of real questions with agreed correct answers. Your staff mark replies that are wrong, incomplete or risky, and each fix is checked against the whole set.
- 04
Launch in a limited scope
Start with staff only, a single channel or a single topic. That lets you see real behaviour with mistakes contained; coverage can widen as quality holds.
Checklist
What to have ready before we talk
Bring the material and decisions that will shape the agent's answers, access and handover.
- Approved sourcesGather FAQs, policies, price lists or manuals, and name an owner for each.
- Off-limits topicsList subjects the agent must avoid and what it should say instead.
- System accessIdentify the test accounts or API access needed for your calendar, helpdesk or order database.
- Handover routeDecide who receives escalations, their working hours and what customers hear when nobody is available.
- Data rulesSet out what can go to an outside AI provider, log retention and who may read conversations.
Cost & time
What affects the cost and timeline?
The work involved depends on your sources, connections and the standard of accuracy the agent needs to meet.
Source documents
Scattered, outdated or scanned material needs more preparation than a current, organised knowledge base.
System connections
Each system adds integration work, particularly when it lacks a documented API and needs a workaround.
Accuracy requirements
High-stakes or regulated topics call for larger test sets, more review and tighter limits on answers.
Ongoing usage
Conversation volume and model choice affect the model provider's charges, which are separate from the build.
Avoid
Mistakes to avoid with AI agents
Conflicting sources
An agent repeats what it is given. Resolve competing versions of a returns policy or other source before launch.
Unsettled processes
If staff disagree on how bookings or refunds work, settle the process before asking the agent to follow it.
A hidden route to staff
Give people a clear way to reach your team so they do not get stuck in a bot loop.
Presenting the agent as a person
Say plainly that it is an automated assistant and explain what it can help with.
Questions
Asked by businesses in Netherlands
Page updated 5 November 2026
Which companies develop AI chatbots, and how do I choose one?
We develop AI chatbots, and our stack includes OpenAI, Anthropic Claude and Google Gemini. Ask a prospective developer which tools they would use for your requirements and where the agent will run. An agent can be placed on a website, WhatsApp, Slack, Microsoft Teams or inside your own app.
How much does an AI agent cost?
There is no fixed price for every agent. A hosted platform includes an inbox and analytics, while a custom build gives you more control with more to build and maintain. Action-taking tools also need permissions, input checks and decisions about human confirmation. Agree the scope with us so those choices are clear.
Should I choose a customer-facing agent or an internal assistant?
Choose based on who needs answers and what they are allowed to see. A customer-facing agent needs tight limits on topics and tone. An internal assistant needs permission checks so staff see only documents they may access. In either case, we ground answers in your content and set limits so the agent says when it does not know.
What is included in an internal knowledge assistant?
An internal assistant lets your team ask questions across policies, manuals and documents. We use AI providers that do not train on your data and limit the agent's access to what it needs. We also set limits on what it can say and do, and test it against real questions.
Who owns the work after launch?
You own your domain, content and code, with no lock-in. When agreeing the scope, identify which of those assets form part of your project and make sure you know where they are held and who on your side can access them.
What should we review after the agent goes live?
Review a sample of conversations regularly, especially unanswered questions and handovers. We provide usage insights showing what people ask, what gets resolved and where to improve. Compare resolution, handover, customer ratings and staff time saved with the period before launch, and rerun the evaluation set after changes to prompts, documents or the model.
