Choosing

Should you build custom software or use an existing platform?

An existing low-code platform such as Airtable, Zoho Creator or Retool can suit a simple workflow used by a small team. Check the limits before committing: complex rules take more effort to accommodate, per-user licences grow with the team, and moving your data out later needs attention. Make a list of the rules and records you expect the system to handle before choosing a platform.

A hybrid is useful when a product already handles standard work well. You might keep your accounting software and build the missing workflow around it, connecting the systems through their APIs. Custom software is worth considering when your process sets you apart or several tools do not communicate. We will tell you if an existing product fits better.

You also need to decide how much to replace. Starting with one workflow reduces risk and gives your team a chance to use the new system before extending it. A wider replacement is appropriate when the old system is failing or being withdrawn. Choose the boundary around a complete piece of work, so staff have something usable to test.

Rules

What a custom software project in the Netherlands has to handle

If your software creates invoices, its records need to handle the applicable Dutch btw rate for each item or service. We set up invoice fields and tax settings for the general, reduced and zero rates your workflow needs, so the information can be used when an invoice is prepared.

If the project includes a public website with tracking cookies, we set up a consent banner and keep those cookies off until a visitor actively agrees. The build also needs to inform visitors about functional and qualifying analytical cookies; pre-ticked boxes and cookie walls do not provide valid consent.

How it runs

How a custom software project runs with us

We work remotely over video calls, WhatsApp and shared project boards. IST is 4h30m ahead of the Netherlands, or 3h30m during Central European Summer Time, from the last Sunday in March to the last Sunday in October. We use the shared board to keep decisions and feedback visible between calls, so work can move across the time difference.

  1. 01

    Discover

We speak with managers and the people doing the work. Together, we map the order of tasks, documents, approvals and waiting points, including workarounds that are absent from the process document.

  2. 02

    Scope

We agree what belongs in the first version, concentrating on the work that saves the most time. You help identify the point where a change would relieve the greatest pressure.

  3. 03

    Design

We prepare screens and refine them with your feedback before writing code. You can review how the work will move through the system while changes are still easier to discuss.

  4. 04

    Build

We work in small increments and show you demos. Your team tests each increment with real business cases and decides what needs to change before the next one.

  5. 05

    Launch

Data is migrated and checked, and staff are trained. Where needed, the old and new systems run side by side until the figures match.

Checklist

What to have ready before we talk

A few practical details will make the first discussion more useful and help your team assess the change later.

  • Rank the problems by hours lost, errors, late jobs or missed revenue. This helps decide what the first version should cover.
  • List the people who will use the system and what each person must see, do or be prevented from seeing.
  • Bring administrator access to connected tools, or introduce us to someone who has it.
  • Name a decision maker and a staff member who can test, give feedback and champion the system with colleagues.
  • Record a baseline for task time, errors, turnaround or status queries, so you can compare it after the team has settled into the new system.

Cost & time

What affects the cost and timeline of custom software

The work grows with the rules, access requirements and ways people need to use the system.

  • Workflows and approvals

Each workflow, role and approval step adds scope. The number of screens alone is a poor measure of the work involved.

  • Exceptions

Pricing tiers, approval limits and branch-specific steps add logic to build and cases to test. Listing those exceptions early helps define the scope.

  • Security and compliance

Detailed audit logs, retention rules and single sign-on add requirements to design and implement.

  • Field use

Offline access or a mobile app alongside the web system adds another front end to build and test. Agree which tasks staff need away from a connection.

Avoid

Mistakes to avoid with custom software

  • Copying the spreadsheet screen for screen

This carries its problems into the new system. Fix the process first, then build the simplest system that supports it.

  • Leaving permissions until late

Decide who can access each part while screens are designed. Adding those decisions later creates rework and risks showing data to the wrong people.

  • Importing messy records unchanged

Clean and check the data before import, so old errors are not carried into the new system.

  • Putting every request into the first version

Focus it on the biggest bottleneck. What your team learns from using it can shape the next phase.

Questions

Asked by businesses in Netherlands

Page updated 5 November 2026

How do I choose the right software development company?

Choose a team that lets you speak directly to the people designing and building your product, and that takes time to understand the records your staff share. If you have outgrown spreadsheets or an old desktop database, discuss how the proposed system will give the right people access to shared data and its history.

How much does custom software development cost?

There is no fixed price. Major drivers include the data that needs cleaning and migration, the accounting or CRM connections required, and the roles and permissions the system must support. A long or messy record history adds checking work. We send a free quote once the scope is agreed, so it reflects the work your project needs.

What is included in a custom software system?

A system can include access controls, audit trails, reports and exports shaped around your work. Permissions define who can see, edit, approve or export each kind of record; an audit trail records who changed what and when. For reports, start with questions you need answered, such as overdue jobs, stock on hand or margin by customer.

Does web-based software need installing, and where is it hosted?

Web-based software runs in a browser on desktops, tablets and phones, so users do not need to install it. Updates reach all users at once. Managed cloud hosting reduces server upkeep; a private server or a particular cloud region may be appropriate when your organisation has strict IT policies or data-location rules.

Who owns the software after it is built?

You own your code, content and domain, with no lock-in. Keep those assets accessible to the people responsible for managing them in your business. Ownership gives you control over how the software is maintained and developed after launch, including decisions about future changes to the product and its content.

What support is available after launch?

We provide fixes, improvements and new features after launch. When reporting a fault, it helps to describe the record affected and the steps that led to it. For an improvement, explain the task your team is trying to complete and what currently gets in the way; that gives us a specific problem to discuss.
