Choosing
Should you buy software or build it?
Start with the process you need to support. An off-the-shelf product can fit standard work such as accounting, payroll or email. Custom software becomes worth examining when your process sets you apart, or when several products leave gaps that staff have to bridge themselves. A ready-made product gives you an established set of functions; a custom build asks you to define the rules and records you need.
Low-code tools such as Airtable, Zoho Creator and Retool suit simpler workflows and small teams. Check their limits before committing: complex rules take more work, per-user licences can grow, and moving data out later needs thought. A hybrid is another option. You keep a product that already handles work such as accounting and build the missing workflow around it, connected through an API.
We will discuss where your existing tools fit and where the gaps are. If an existing product fits your work better than a custom build, we will tell you. The decision should leave you with a process your staff can actually use, with a clear reason for each part you ask us to build.
Local
What Toronto businesses need from their software
Toronto has factories and distribution warehouses in Etobicoke, North York and Scarborough. A manufacturer or distributor tracking orders, stock and dispatch across spreadsheets may need a shared system with live status and reports, so staff can see the same position when work moves between those stages.
Financial services businesses in the city may need records that stand up to review. We define who can see, edit, approve and export each type of record, and set up an audit trail showing who changed it and when.
Local technology and life sciences businesses that have outgrown a spreadsheet or desktop database may need shared records with permissions and history. We agree the records, their statuses and their links early, because those choices determine which reports the system can produce later.
Rules
What Canadian sales can change in the build
If your software records taxable sales, the place of supply affects the GST or HST rate applied. Ontario HST is 13%. We set up fields for the information used to identify the place of supply, such as where goods are delivered, and invoice rules that apply the relevant rate. For sales across provinces, we agree the required rate rules with you as part of the build, so the records and invoices reflect the places your business supplies.
How it runs
How a custom software project runs with us
We work remotely over video calls, WhatsApp and shared project boards. India is ahead of Eastern Time, with the gap narrowing during daylight saving time. The shared board keeps questions and decisions visible between calls.

Discover
We spend time with the people doing the work as well as their managers. Showing us the work in practice helps reveal the workarounds missing from a process document.
- 02
Design
We prepare screens and refine them with your feedback before writing code. You can review what staff will see and raise questions about the workflow while the screens are still being shaped.
- 03
Build
We work in small increments and demonstrate each one. You test it against real cases from your business and decide what needs to change before the next increment.
- 04
Prepare for launch
We migrate and check data, and staff are trained. The old and new systems can run side by side until their figures match, giving your team a way to check the changeover.
- 05
Launch and care
We handle domain, email, analytics and search setup, followed by ongoing support. You have a route to ask for help as your team starts using the finished system.
Checklist
What to have ready before we talk
Bring examples of the work as it happens today.
- List the people who will use the system, including what each person must see, do and not see.
- Rank the problems by their cost to your business, such as hours lost, errors, late jobs or missed revenue.
- Name a decision maker and a staff member who will test, give feedback and champion the system with colleagues.
- Identify the process where a first version would save the most time, so we can scope that work.
- Bring copies of current forms and templates, with notes on the columns people rely on.
Cost & time
What affects the cost and timeline
The work behind the screens shapes the scope.
Workflows and roles
Each workflow, permission and approval step adds decisions and work beyond the visible screens.
Exceptions
Pricing tiers, approval limits and branch-specific steps add logic that needs to be built and tested.
Integrations
Each connection adds work; poor documentation or the absence of an API adds more.
Data migration
Large or messy records, especially when you need to retain a long history, need more cleaning and checking.
Field access
Offline use or a mobile app alongside the web system adds another front end to build and test.
Avoid
Mistakes to avoid
Copying the spreadsheet screen for screen
Fix the underlying process first, then build the simplest system that supports it.
Scoping everything at once
Start with the biggest bottleneck, then use the first version to shape what comes next.
Leaving permissions until late
Define roles while screens are being designed to avoid rework and exposing data to the wrong people.
Leaving the system without an internal owner
Give someone responsibility for answering rule questions and keeping testing moving.

Which company is best for software development?
Choose a company whose way of working fits your project. Ask who will handle design, development and launch, and how you will review the work. At MSH Technologies, the same team handles those stages from start to finish, so you can discuss the work with the people responsible for building it.
How much does custom software development cost?
There is no fixed price: the scope, connections and existing data all affect the work. For each connection, agree which system holds the master copy of each field. For migration, old columns need mapping to the new structure and duplicates need cleaning. Ask us for a free quote once the scope is agreed.
What does custom software development include?
We build browser-based software with logins, permissions, audit trails, live reports and exports. Your team can use it on desktops, tablets and phones without installing software. Updates reach users at once, which keeps everyone working with the current version of the system.
Should we replace our whole system at once?
Replacing one workflow first usually lowers risk and gives you a chance to see its value early. A full replacement is more suitable when the old system is failing or being withdrawn. Identify the workflow you would replace first and the work it needs to exchange with the rest of your current system.
Who owns the software after launch?
You own your code, content and domain, with no lock-in. Ask for a clear handover of those assets when agreeing the scope, and decide who in your business will hold them. That gives you a clear point of responsibility for the software and its associated content and domain.
What support is available after launch?
We provide fixes, improvements and new features after launch. Before the changeover, take a baseline for measures such as task time, error counts, turnaround and status queries. Once your team has settled into the new system, compare those measures to see where further improvements would be useful.
