Choosing
Should you buy software or build your own?
Start with the process. Off-the-shelf products fit established needs such as accounting, payroll and email, where adapting to an existing way of working may save you development effort. Custom software is a stronger fit when your own process sets your business apart, or when separate tools leave gaps that staff have to bridge themselves.
Low-code platforms such as Airtable, Zoho Creator and Retool suit simple workflows and small teams. Before choosing one, check how it handles complicated rules, per-user licences as your team grows, and getting your data out later. Those limits affect the flexibility you retain as your process changes.
You also have a choice about how much to replace. Starting with one workflow lowers risk and gives you an early view of its value; replacing everything at once suits a system that is failing or being withdrawn. We discuss the fit with you and will tell you if an existing product suits your work better.
Rules
What does custom software in Canada need to handle?
If your software calculates sales tax, the place of supply affects the rate. For a sale in Quebec, we set up the checkout or invoice calculation to apply the 9.975% QST alongside 5% GST, with QST calculated on the amount before GST. The sale’s location needs to be part of the calculation, such as where goods are delivered.
For software that handles personal information, federal private-sector privacy rules and the substantially similar laws in Alberta, British Columbia and Quebec affect how that information is collected, used and disclosed. We set up roles for who can see, edit, approve and export records, with an audit trail showing who changed what and when.
How it runs
How a custom software project runs with us
We work remotely over video calls, WhatsApp and a shared project board. India time is 9h ahead of Newfoundland to 12h30m ahead of British Columbia and Yukon in winter. The shared board gives you a place to review the work and leave feedback across the time difference.

Discover
We map your process with managers and the people doing the work, then agree a first version focused on the work that saves the most time. Show us the workarounds that a process document misses.
- 02
Design
We prepare screens and refine them with your feedback before writing code. You can review how the work will be handled while changes are still part of the design discussion.
- 03
Build
We build the agreed software and test it on real devices and browsers. You review the work as the project moves towards launch.
- 04
Go live
We migrate and check the data and train your staff. The old and new systems may run side by side until their figures match.
Checklist
What to have ready before we talk
Bring the materials and people that show us how the work happens today.
- Copies of current spreadsheets, forms, templates and sample records, with notes on the columns people use.
- A list of users and what each person must be able to see and do, as well as what they must not see.
- Admin access, or a contact who has it, for the accounting, CRM or email tools that need connecting.
- A named decision maker and a staff member who will test, give feedback and champion the system.
- An indication of how much record history you want to bring across and how old columns should map to the new structure.
Cost & time
What affects the cost and timeline?
The work grows with the rules, connections, data and interfaces your software needs.
Business rules
Pricing tiers, approval limits and branch-specific exceptions add logic to build and test.
Integrations
Each connection adds work; a system with poor documentation or no API adds more.
Data migration
Large or messy records and long histories add cleaning and checking before they can be brought across.
Field access
Offline use or a mobile app alongside the web system adds a separate interface to build and test.
Avoid
Mistakes to avoid
Copying the spreadsheet screen for screen
Fix the process first, then build the simplest system that supports the improved way of working.
Leaving permissions until late
Define roles while screens are designed, so access decisions do not force rework or show records to the wrong people.
Importing messy data unchanged
Plan for cleaning and checking before the import, so old errors do not carry into the new system.
Leaving the project without an internal owner
Give someone responsibility for answering rule questions and keeping testing and adoption moving.
Questions

How do I choose the best software development company for my business?
Choose a team that lets you discuss the work directly with the people designing and building it. Ask how they would handle your particular process. For a franchise or multi-branch business, for example, that discussion should cover a consistent process at each branch and central reporting across them.
How much does custom software development cost?
There is no fixed price: the scope determines the work. Connections to tools such as your CRM, accounting software, email or WhatsApp affect the build, as do security and compliance requirements such as detailed audit logs, data retention rules or single sign-on. Discuss those requirements when agreeing the scope.
What is included in custom software development?
Your software can include logins, permissions, audit trails, live reports and exports. We build reports around the questions your finance and management teams need answered. Those questions might include which jobs are overdue, what stock is on hand or what margin you make by customer.
Will I own the software after it is built?
Yes. You own your code, content and domain, with no lock-in. When discussing the project, identify who in your business will be responsible for those assets and make ownership part of the conversation. That gives you a clear basis for managing the software after launch.
What support is available after launch?
We provide fixes, improvements and new features after launch. To judge what has changed, take a baseline before launch and compare it with the way the team works once it has settled into the system. Useful measures include time per task, error counts, turnaround and status queries.
How should we choose where to host the software?
Choose hosting around your IT policies and any data-location rules. Managed cloud hosting reduces server upkeep; a private server or a specific cloud region can suit stricter requirements. For health, finance or inspection work, also discuss the access controls and records needed for review.
