Choosing
Which kind of chatbot should you build?
Start with the requests you receive. A menu-and-button bot suits a small set of predictable tasks and is easy to audit, though someone with a question outside the menu may struggle. An agent that answers from documents suits a wider range of questions when the answers already exist in writing. It needs someone to keep those documents current and a set of real questions to test against.
A hybrid design gives people buttons for structured tasks such as booking or order status, while accepting free-text questions as well. Your team sits behind both routes. For a support desk handling routine and unusual requests, that gives customers a clear way to start without restricting every conversation to a menu.
A hosted chatbot platform includes an inbox and analytics and takes less setup. A custom build gives you more control over data, integrations and behaviour, with more to build and maintain. An answer-only agent is a lower-risk starting point; changing records, issuing refunds or taking payments calls for tighter permissions, confirmation steps and more testing.
Rules
What an agent in Australia has to handle
Your agent’s job depends on the enquiries you receive. An online store needs order status, delivery and returns answers, with refunds and complaints passed to staff. A software company needs answers from help articles and a ticket when the agent cannot help. Property, travel and hospitality businesses also receive enquiries at night and weekends, when a reply left until morning can lose a lead.
For an organisation covered by the Privacy Act, an agent that uses personal information to make decisions that could significantly affect someone’s rights or interests needs particular care. From 10 December 2026, the privacy policy must disclose the kinds of information and decisions involved. We set up access limits for the agent and identify the details needed for that disclosure as part of the build.
How it runs
How an agent project runs with us
We work remotely over video calls, WhatsApp and shared project boards. India time is 4h30m behind Sydney, or 5h30m behind during daylight saving time. The shared board gives both sides a place to review work and leave decisions for the other to pick up.
- 01
Discovery
You share examples of real conversations and name an owner for each topic. We use those examples to define the questions the agent should handle, so the scope reflects requests that actually reach your team.
- 02
Build and review
We connect the approved sources and write the agent’s instructions and limits. You review draft answers for accuracy and tone before anyone outside your organisation sees them.
- 03
Handover
We agree where the agent stops, including low-confidence answers, complaints, refund requests or a direct request for a person. We also decide what conversation context the staff member receives.
- 04
Testing
We use a fixed set of real questions with agreed answers. Your staff mark replies that are wrong, incomplete or risky, and each fix is retested against the whole set.
- 05
Limited launch
We start with staff, a channel or a topic to see how the agent behaves while mistakes remain contained. Coverage widens as quality holds.
Checklist
What to have ready before we talk
Bring the material and decisions that will shape the agent’s scope.
- Approved sourcesGather FAQs, policies, price lists or manuals, and name the person responsible for keeping each source current.
- Topics to excludeList requests the agent must not handle, such as medical, legal or billing disputes, and decide what it should say instead.
- System accessIdentify the booking calendar, CRM, helpdesk or order database involved, and arrange test accounts or API access for each.
- Staff handoverDecide who receives escalations, when they are available and what customers hear when nobody is available.
- Customer data rulesAgree what can go to an outside AI provider, how long conversation logs can be kept and who can read them.
Cost & time
What affects the cost and timing?
These choices shape the work involved in building and running your agent.
Source documents
Scattered, outdated or scanned material takes more preparation than a current knowledge base. The amount of material also changes how much needs review before it is connected.
Connected systems
Each connection adds work. A documented API gives us a clearer route into a system; a system without one may need a workaround.
Accuracy requirements
High-stakes or regulated topics need larger test sets, more review and tighter limits on the answers the agent is allowed to give.
Usage and model choice
Conversation volume and the model selected affect ongoing provider charges. Those charges are separate from the cost of building the agent.
Avoid
Mistakes to avoid with your agent
Conflicting sources
An agent can repeat either version of a returns policy when both are available. Remove outdated or contradictory content before launch and keep the approved version clear.
An unsettled process
If staff disagree about how a booking or refund works, the agent will spread that confusion. Agree the process with your team before automating it.
Too much system access
Give each tool only the actions it needs, limit the amounts, records and frequency involved, and log every action the agent takes.
A hidden route to staff
Customers stuck in a bot loop can leave or complain elsewhere. Make the route to a person clear in every conversation.

Which companies develop AI chatbots?
Web and AI studios build chatbots, including MSH Technologies, a studio in India. Our agent stack includes OpenAI, Anthropic Claude, Google Gemini, vector databases, the WhatsApp Business API and Python. When comparing a builder, look at how its proposed tools fit the channels, content and actions you want the agent to handle.
Where can our agent run?
Your agent can run on your website, WhatsApp, Slack, Microsoft Teams or inside your own app. The choice starts with where the people using it already ask their questions. An agent reads a message and then replies from approved sources, takes an action in a connected system or passes the conversation to a person.
Will the agent guess answers or expose our data?
We ground answers in your content, test against real questions and set limits so the agent says it does not know when an answer is missing. We also use AI providers that do not train on your data and limit the agent’s access to the information it needs for its work.
Who owns the work when it is finished?
You own your domain, content and code, with no lock-in. That gives you control of those parts of the project after delivery. When discussing the scope, identify the content and code you expect to receive, along with the domain you use, so ownership is clear to your team.
How much does an AI agent cost?
There is no fixed price. The main drivers include the documents an internal assistant needs to search, the actions it takes in your systems and the guardrails and testing it needs. We send a free quote once the scope is agreed, so you can review the work proposed before deciding to proceed.
What should we review after launch?
Review what people ask, what gets resolved and where the agent needs improvement. We provide usage insights for that work. Your team can also sample conversations, particularly handovers and unanswered questions, and rerun the evaluation set after changes to prompts, documents or the model version.
