Choosing
Should you choose menus, AI answers or both?
Start with the tasks customers bring to the chat. Menus and buttons suit fixed requests such as opening hours, order status and bookings. AI answers suit more varied questions written in the customer’s own words. They also call for prepared source content, testing and clear limits on what the bot should answer. A choice between the two affects the material you need to prepare and the conversations you need to test.
Your existing number is another decision. If you already use the WhatsApp Business app, a provider can connect that number to the Cloud API while you continue to reply individually in the app, with chat history kept in sync. Under standard registration, a number already in WhatsApp must first be deleted from WhatsApp before it can be registered on the platform. Decide which route and number you want to use early.
Check the AI use case too. Meta’s terms bar AI providers whose main offering is a general-purpose assistant; AI that supports a business’s own service falls outside that ban, with Meta deciding which use applies. If an AI provider is your solution provider, WhatsApp platform data cannot be used to train or improve its AI systems, apart from fine-tuning a model for your exclusive use.
Market
What customers in Singapore may expect from the chat
A retailer or online store may need the chat to answer order-status questions and send confirmations and delivery updates. A restaurant or food business may want to take orders and table bookings from customers who already message it. Those tasks give you a practical way to decide which conversations to build first.
For a sales-led business, the chat can capture leads from ads, ask a few qualifying questions and pass them to sales staff. Schools and training providers have different conversations to plan, including admissions enquiries, course questions and reminders about classes and fees. English is the main language of commercial affairs, so we can set up the initial conversation in English and plan its wording around those enquiries.
Rules
What a Singapore chatbot project has to handle
Payment instructions should match the methods you accept. PayNow Corporate lets a business receive funds through its UEN, while SGQR combines multiple payment QR codes into a single label. Where you use those methods, we set up clear payment instructions in the chat and identify the QR code customers should use. Your accepted payment options determine what the customer sees.
A data breach response also needs a clear route. When your organisation assesses a breach as notifiable, Singapore’s PDPA requires notification to the PDPC and affected individuals. We set up a response checklist for recording that assessment and prompting the required notifications, so the people handling the chatbot know what to do with an incident.
How it runs
How your chatbot project runs with us
We work remotely from India using video calls, WhatsApp and a shared project board. IST is 2h30m behind Singapore time, so we use the board to keep decisions and open questions visible across the time difference.
- 01
Discover
We learn about your business, audience and goals, then agree the scope with you. Bring the customer questions and tasks you want the chat to handle; those choices give the work a defined starting point.
- 02
Plan messages
We identify the messages your business wants to start, such as order updates, reminders or offers. Each template needs a marketing, utility or authentication category, so you help us review the purpose and wording of each message.
- 03
Review sending limits
New business portfolios have a limit on unique users they can message outside the customer service window during a rolling period. Business verification is one route to a higher limit, subject to Meta’s quality review.
- 04
Test
Your staff run real questions, orders and bookings through a test number. We check the handovers to a person and confirm that leads and orders arrive in the connected systems, so you can review the actual flows before use.
Checklist
What to have ready before we talk
Gather these details so we can discuss the account, number and messages you want to use.
- Portfolio accessAn admin at your business should hold access to your own Meta business portfolio.
- Phone numberChoose a number you own, including its country and area code, that can receive a verification call or SMS.
- Opt-in wordingIdentify where you collect permission and make sure the wording names your business and states that the person is opting in to messages.
- Products and servicesCheck what you sell against WhatsApp’s restricted categories, including healthcare products, alcohol and gambling.
- Display nameChoose the name to submit for verification; Meta approval is needed before it appears in chats and the chat list.
Cost & time
What affects the cost and timeline of development
The scope of the chat and the systems around it determine the work involved.
Connections
A CRM, booking system, order system or payment link adds integration work; usable APIs affect how that connection is built.
Answer method
Fixed menus and AI answers need different work. AI over your content adds preparation, testing and decisions about answer limits.
Staff handover
A simple alert has a different scope from a shared inbox with assignment, notes and reporting.
Catalogue upkeep
The number of items and frequency of price or stock changes affect whether product data needs to sync automatically.
Avoid
Mistakes to avoid with your chatbot
Hiding the route to a person
Give customers a prompt, clear escalation path, such as an in-chat transfer, phone number, email or support form.
Ignoring a stop request
Respect requests made on or off WhatsApp and remove the person from your contact list when they ask to stop messages.
Asking for sensitive numbers
Keep requests for full payment card, financial account and personal ID card numbers out of the chat.
Putting offers in utility templates
Keep utility messages non-promotional. WhatsApp can change the category to marketing when it finds promotional content.

How much does a WhatsApp chatbot cost?
There is no fixed price for every chatbot. The scope changes with the catalogue, order capture or appointment booking you need, and with where leads and orders must be sent. We first need to understand which of those tasks your chat should handle before agreeing the work.
Is the blue checkmark automatic?
No. A blue checkmark comes from Official Business Account status, and Meta reviews each request. The requirements include a verified business portfolio, two-step verification, an approved display name and policy compliance. Meta can deny a request, so treat the checkmark as a separate review from planning your customer conversations.
Who owns the work after launch?
You own your domain, content and code, with no lock-in. That gives you ownership of the materials and code produced for your project. Discuss the account and access arrangements when you agree the scope, so the people responsible for the chatbot know what your business holds.
What should we review after the chatbot goes live?
Review the questions the bot could not answer and the conversations handed to staff, then add missing answers or flows. Track conversations started, resolved without staff and handed over, alongside completed orders or bookings and opt-outs. Compare those measures with your chat volumes before the bot.
Will every customer who opts in receive our marketing messages?
No. WhatsApp may limit how many marketing templates a person receives from all businesses based on their recent engagement, so an opted-in customer may still miss a message. Watch template quality ratings as well: negative feedback or low read rates can lead to a template being paused or disabled.
Can a clinic use the chat for patient enquiries?
A clinic can keep the bot to bookings and general questions. The policy bars sending or requesting health information where regulations forbid sharing it on systems without heightened protection. Plan the questions in the chat around those booking and general enquiries, and keep requests for health details out of the flow.
