Choosing
Should you buy software or build your own?
Start with the process. An existing product is often a good fit for standard work such as accounting, payroll or email. Custom software is worth considering when your process sets your business apart or your existing tools leave gaps between them. A hybrid is also an option: keep the accounting product that works and build the missing workflow around it, connected through its API.
For a simple workflow and a small team, a low-code platform such as Airtable, Zoho Creator or Retool is another route. Check the rules you need it to handle, the effect of per-user licences as your team grows, and how you would move your data out later. More complex rules can expose the limits of that approach.
Hosting is a separate choice. Managed cloud hosting reduces server upkeep, while a private server or a specific cloud region can suit strict IT policies or data-location rules. We will tell you if an existing product fits your needs better than a custom build.
Local
What Cardiff organisations need from their software
Cardiff is Wales’s main finance and business services centre. A finance business handling records that need to stand up to review can use permissions to control who sees, edits, approves or exports them. An audit trail records who changed a record and when.
Cardiff is also home to major higher education institutions. For an institution managing work across teams, a browser-based system can bring records, permissions and reports into a shared workflow, with exports available when staff need to review information.
As a commercial centre, Cardiff is also a place where distributors and manufacturers need to follow orders, stock and dispatch. Live status and reports give staff a way to answer questions such as what stock is on hand or which jobs are overdue.
Rules
What a UK software project has to handle
If your system holds personal information, account for UK data protection when deciding what each user can access. We set up logins and permissions for the relevant parts of your team, along with audit trails that record activity. Bring your access and record-handling requirements into the screen design, so they are part of the build from the outset.
How it runs
How a custom software project runs with us
We work remotely over video calls, WhatsApp and shared project boards. India time is 5h30m ahead of the UK, or 4h30m during British Summer Time. The shared board keeps questions and decisions visible between conversations, so work can move across that difference.
- 01
Discover
We map how the work happens and agree what the first version should cover. You show us where time is being lost and help decide which tasks to address first.
- 02
Design
We prepare screens and refine them with your feedback before writing code. You can check that the proposed screens follow the way your staff need to work.
- 03
Build and review
We build in small increments and demonstrate the work. You test each increment with real cases from your business and decide what needs to change before the next.
- 04
Launch and care
Once the software is in use, we provide fixes, improvements and new features. You can bring us issues from day-to-day use and discuss what to add as your needs change.
Checklist
What to have ready before we talk
Rank the problems you want to solve by hours lost, errors, late jobs or missed revenue.
- Bring the spreadsheets, forms and sample records you use, with notes on the columns staff rely on.
- List each kind of user and what they must see, do and not see.
- Arrange admin access, or a contact who has it, for tools that need connections.
- Choose an owner inside your business to answer questions and coordinate testing.
- Note the records you need, their statuses and how they link to each other.
Cost & time
What affects the cost and time of development
The work behind the screens shapes the scope. These are useful things to discuss early.
Workflows and approvals
More roles, processes and approval steps create more behaviour to design and check than a screen count alone suggests.
Business rules
Pricing tiers, approval limits and branch-specific exceptions add logic and testing.
Security and records
Detailed logs, retention rules or single sign-on add requirements to the build.
Field access
Offline use or a mobile app alongside the web system adds another front end to build and test.
Avoid
Mistakes to avoid when building software
Copying the spreadsheet screen for screen
Review the process first, then build the simplest system that supports the improved work.
Importing data without checking it
Clean and check the records before import, so old errors are not carried into the new system.
Leaving permissions until late
Define roles while the screens are being designed. That reduces rework and helps prevent information being shown to the wrong people.

How do I choose a software development company?
Choose a team that will examine your process and agree the scope with you. Ask who you will speak to as the work progresses and how they decide what belongs in the first version. With us, you talk directly to the people who design and build your software.
What affects the cost of custom software?
There is no fixed price. Connections to existing systems are a major driver: each adds work, and poor documentation or a missing API adds more. The rules for shared data add work too; for each field, you need to agree which system holds the master copy.
What does web-based software include?
It can give your team a system they use in a browser on desktops, tablets and phones. There is nothing to install, and an update reaches all users at once. That makes it a practical option when the same workflow needs to be available across those devices.
Who owns the software after launch?
You own your code, content and domain, with no lock-in. When discussing a project, ask where the code will be held and how you will access it, as well as where the domain is registered. Your content remains yours as part of that arrangement.
What support is available after launch?
We provide fixes, improvements and new features after launch. To judge what to improve, take a baseline before the new system goes live: record task time, error counts, turnaround and status queries. Compare those measures once your team has settled into using the software.
How do we move from our old system?
Before go-live, data is migrated and checked, and staff are trained to use the new system. The old and new systems may run side by side until their figures match. Plan for your team to check the migrated records and take part in that handover.
