Choosing
Should you choose menus or AI answers?
Start with the questions customers ask. A menu-and-button bot suits fixed tasks such as checking an order, booking an appointment or finding opening hours. AI answers suit a wider range of free-text questions, but your source content needs preparation, testing and clear limits. We design flows around common questions and build AI answers from your own information, with a handover to a person when needed.
You also have a platform choice. You can build directly on Meta's Cloud API or use a solution provider, which can add billing, integration support and customer support. Weigh those services against what your business already handles and the support you want available for the messaging setup.
Decide which number the bot will use early. Standard registration requires a number already used on WhatsApp to be deleted from WhatsApp before platform registration. There is also an option to connect an existing WhatsApp Business app number to the Cloud API through a provider, keep replying individually in the app and keep chat history in sync. That choice affects how your staff continue their conversations.
Market
What customers in Ireland may expect
The useful flow depends on what you sell. Retailers and online stores need order confirmations, delivery updates and answers to order-status questions. Restaurants and food businesses need a way to take orders and table bookings from people already messaging them. Schools, colleges and training providers need to handle admissions and course enquiries, alongside class and fee reminders.
For real estate and travel, the chat can capture a lead from an ad, ask a few qualifying questions and pass it to sales staff. If you need payment as part of an order flow, Stripe lists Ireland among the countries where businesses can sign up. We plan the order conversation around your checkout; the bot must not ask customers to type full card, financial account or personal ID card numbers into chat.
Rules
What your chatbot project in Ireland has to handle
If your online service relies on consent to process a child's personal data, the flow needs to account for Ireland's digital age of consent. For children under 16, consent must come from a parent or guardian. We set up a parent or guardian consent step in the relevant flow, so you can collect that consent before proceeding with the activity that relies on it. Tell us which parts of your service children use and where you currently collect consent.
How it runs
How a WhatsApp chatbot project runs with us
We work remotely, with video calls, WhatsApp and a shared project board to keep decisions visible between conversations. IST is 5h30m ahead (4h30m during Irish summer time, from the last Sunday in March to the last Sunday in October). We can use the board to keep work moving across that difference.
- 01
Discover
We learn about your business, audience and goals, then agree the scope with you. Bring the customer questions and tasks you want the chat to handle, along with the systems that need the information it collects.
- 02
Set up messaging
We arrange the WhatsApp Business API setup through an official provider, including the number, verification and message templates. You help identify the messages your business needs to send.
- 03
Submit templates
We draft and submit templates early. They are reviewed automatically when created or edited, and only approved templates can be sent. You check that the wording reflects the messages your customers should receive.
- 04
Test the work
Your staff run real questions, orders and bookings through a test number. We check each handover to a person and confirm that leads and orders reach the connected systems correctly before the flow is put into use.
Checklist
What to have ready before we talk
Gather these details so we can discuss the setup and the messages your customers will receive.
- Business portfolio accessHave an administrator at your business hold access to your own Meta business portfolio.
- Opt-in wordingShow us the website, checkout or paper form where people agree to messages; the wording must name your business and state what they are opting into.
- Privacy policyHave a published policy ready, alongside the notices and consents applicable law requires.
- Products and servicesCheck what you sell against WhatsApp's restricted categories, including alcohol, healthcare products and gambling.
- Display nameChoose the name for the business number. It appears in chats and the chat list after Meta approves it.
Cost & time
What affects the cost and work involved
The scope and the messages you send shape both the build work and the running costs.
Answer design
Fixed menus need different preparation from AI answers, which need source content, testing and clear limits.
Staff handover
A simple alert involves a different scope from a shared inbox with assignment, notes and reporting.
Catalogue data
The size of your catalogue and the frequency of price and stock changes affect whether product data needs an automatic sync.
Delivered messages
Meta's rates vary by message category and the recipient's country code, so your mix of marketing, utility, authentication and service messages affects running costs.
Avoid
Mistakes to avoid with your chatbot
Messaging without opt-in
Collect an explicit agreement to receive messages from your business. Unexpected messages can lead to blocks and reports that lower quality and can result in rate limits.
Missing an opt-out
Respect requests to stop messages, including requests made outside WhatsApp, and remove the person from your contact list.
Hiding staff support
Give customers a prompt, clear route to a person, such as an in-chat transfer, phone number, email address or support form.
Putting offers in utility templates
Keep utility messages non-promotional. WhatsApp can change the category when it finds promotional content.

How much does WhatsApp chatbot development cost?
There is no fixed price. The main drivers include whether answers use fixed menus or AI, how staff take over conversations, and whether catalogue data needs automatic updates. We send a free quote once the scope is agreed. Ongoing messaging charges also depend on the categories you send and recipients' country codes.
Can customers place orders or book appointments in the chat?
Yes. We can set up catalogues, order capture and appointment booking inside the chat. The useful starting point is the task your customers already message you to complete: agree with us which information the conversation needs to collect and where your staff need to take over.
Who owns the work when the chatbot is finished?
You own your domain, content and code, with no lock-in. That gives your business control of those assets after the work is finished. Keep access to your own Meta business portfolio with an administrator at your business too, so the account does not depend on a freelancer or agency.
What should we review after launch?
Review unanswered questions and handovers regularly, then add the missing answers or flows. Track conversations started, resolved without staff and handed over, along with completed orders or bookings and opt-outs. Watch template quality ratings too: templates with negative feedback or low read rates can be paused or disabled.
Can the bot send a customer a message at any time?
A customer message opens a 24-hour customer service window, which resets with each new customer message. The bot can reply freely inside that window; outside it, messages must use approved templates. Business-initiated messages, such as reminders or offers, are templates categorised as marketing, utility or authentication.
Can we offer a general-purpose AI assistant on WhatsApp?
Meta's platform terms bar AI providers when AI is the primary function on offer, such as a general-purpose assistant. AI incidental or ancillary to a business's own service falls outside that ban, with Meta deciding which is which. If you use an AI provider as your solution provider, platform data also has limits on its use for AI training or improvement.
