Choosing

Should you choose a hosted chatbot or a custom agent?

A hosted chatbot platform gives you an inbox and analytics with less setup work. A custom agent gives you more control over its behaviour, data and connections to other systems, but there is more to build and maintain. Your choice depends on how closely the assistant needs to fit your existing processes.

Start with the job you want it to do. An answer-only agent fits questions that vary but already have reliable answers in documents; it also gives you a lower-risk place to start. An agent that changes records or handles payments needs tighter permissions, confirmation steps and more testing. Either way, the source material needs an owner who keeps it current.

A hybrid design is another option: buttons guide structured tasks such as booking or checking an order, while AI handles free-text questions and a person is available behind both. For an internal assistant, document permissions shape the design too. We learn your goals and agree the scope with you before settling on an approach.

Rules

What does an agent project in Ireland need to handle?

The tasks shape the build. If you run a clinic or salon, an assistant could answer appointment questions and handle bookings outside opening hours. For an online store, it could answer order and returns questions while passing complaints and refunds to staff.

If your website stores or accesses cookies that are not strictly necessary for a service the user explicitly requests, we set up a consent banner with clear information and a choice before those cookies are used. If your online service relies on consent to process a child’s personal data, we build a parent or guardian consent step for children under 16. We design and build those steps as part of the project.

How it runs

How an agent project runs with us

We work remotely over video calls, WhatsApp and a shared project board. IST is 5h30m ahead, or 4h30m ahead during Irish summer time. The board gives you a place to review the work and leave feedback across that difference.

  1. 01

    Discovery

Share a sample of real conversations and name an owner for each topic. We use those conversations to identify the questions the assistant should handle and agree what belongs in the scope.

  2. 02

    Build

We connect the agreed sources and write the agent’s instructions and limits. You review draft answers for accuracy and tone before the assistant is shown to people outside your business.

  3. 03

    Testing

We use a fixed set of real questions with agreed correct answers. Your staff mark replies that are wrong, incomplete or risky, and we retest each fix against the whole set.

  4. 04

    Handover

We set the points where the agent stops, such as a complaint or a direct request for a person, and agree what conversation context your staff receive when they take over.

Checklist

What to have ready before we talk

A few examples and decisions will make the scope easier to agree.

  • Collect common questions and the answers your staff give, using real emails, chats and call notes.
  • List topics the agent must avoid, such as medical or billing disputes, and what it should say instead.
  • Identify test accounts or API access for systems such as your booking calendar, helpdesk or order database.
  • Decide who receives handovers, when they are available and what customers hear when nobody is available.
  • Bring your rules for data sent to an AI provider, conversation log retention and access to those logs.

Cost & time

What affects the cost and timeline?

The work involved depends on your content, systems and the standard of testing the agent needs.

  • Source documents

Current, organised content takes less preparation than material scattered across outdated documents or scans.

  • System connections

Each connection adds work, particularly when a system lacks a documented API and needs a workaround.

  • Accuracy requirements

High-stakes or regulated topics call for larger test sets, more review and tighter limits on answers.

  • Usage

Conversation volume and model choice affect the provider’s ongoing usage charges, which are separate from the build.

Avoid

Mistakes to avoid

  • Conflicting instructions

An agent repeats what it is given. Clean up competing versions of a policy and settle any disagreement about the process before connecting the content.

  • A hidden route to staff

Give every conversation a clear way to reach a person, so customers are not stuck repeating themselves to the assistant.

  • Excessive access

Give each tool only the actions it needs, set limits on records, amounts and frequency, and log its actions.

  • An unclear identity

Tell people they are speaking to an automated assistant and explain what it can help them with.

Questions

Asked by businesses in Ireland

Page updated 5 November 2026

Which companies develop AI chatbots?

We develop AI agents and chatbots for businesses. Our agent stack includes technology from OpenAI, Anthropic Claude and Google Gemini, alongside tools such as vector databases and Python. An agent can run on your website, WhatsApp, Slack, Microsoft Teams or inside your own app.

How do you stop an agent making up answers?

We ground its answers in your own content and set clear limits. We also test it against real questions, so that when the answer is missing, the agent says it does not know instead of guessing. Your content is the starting point for the answers it gives.

How is our data handled?

We use AI providers that do not train on your data and limit the agent’s access to what it needs. The privacy design also covers what customer data reaches the provider, how long conversation logs are kept and who is allowed to read those logs.

Who owns the code and content?

You own your code, content and domain, with no lock-in. That gives you ownership of those parts of the work after launch as well as during the project. You can discuss the content and code covered by your scope with us before work begins.

What happens after the agent launches?

We provide usage insights showing what people ask, what gets resolved and where to improve. Reviewing conversation samples, especially unanswered questions and handovers, helps you spot missing content. After a change to documents, prompts or the model version, rerun the evaluation set to check for new problems.

Can our staff use an agent to search internal documents?

Yes. An internal knowledge assistant lets your team ask questions across policies, manuals and other documents. For a firm with a large document set, permission checks are part of the design so staff see only the material they are allowed to access.
