Choosing
Should you use menus or AI answers?
Start with the questions you want the bot to handle. A menu-and-button bot suits fixed tasks such as checking order status, booking an appointment or finding opening hours. AI answers suit varied questions typed in the customer’s own words, but you will need prepared source content, testing and clear limits on what the bot answers.
You also have a platform choice. You can build directly on Meta’s Cloud API or use a solution provider that adds billing, integration support and customer support. Decide which number to use early: under standard registration, a number already in use with WhatsApp must be deleted from WhatsApp before it can be registered on the platform.
Keep the AI’s role clear. Meta’s platform terms bar AI providers whose primary offer is a general-purpose assistant, while AI incidental to a business’s own service falls outside that ban. Meta decides which applies. This distinction affects the service you plan to offer through the chat.
Market
What customers in Bahrain may want from chat
Customers’ questions depend on what you sell. Restaurants need a straightforward way to take orders and table bookings; appointment businesses need booking and reminder flows. Schools and training providers have admissions and course enquiries to handle, while real estate and travel businesses need to qualify leads and pass them to sales staff.
Arabic is the official language, and English is widely spoken in business and higher education. We can set up conversation flows in Arabic and English for the enquiries you choose to handle, using the wording your business provides. Decide which questions need both versions before the flows are designed.
Rules
What a Bahrain chatbot project has to handle
Plan where personal data will go before connecting the chatbot to other systems. Bahrain’s data protection rules restrict transfers outside the country unless the destination provides sufficient protection or an exception applies. We map the intended destinations and set up consent collection where consent is the applicable route. If you use an AI provider as your solution provider, we also account for the restriction on using WhatsApp platform data to train or improve AI systems, apart from fine-tuning a model for your own exclusive use.
How it runs
How a chatbot project runs with us
We work remotely with you from India over video calls, WhatsApp and a shared project board. IST is 2h30m ahead, so the board gives both sides a place to review decisions and keep work moving across the time difference.
- 01
Agree the scope
we learn about your business, audience and goals, then agree the work with you. We design screens with your feedback before building, test the work and support it after launch.
- 02
Register the number
you provide the display name for your business. It appears at the top of chats and in the chat list after Meta approves it.
- 03
Plan outbound messages
new business portfolios have a limit on unique users they can message outside the customer service window. Business verification is one route to a higher limit, subject to Meta’s quality review.
- 04
Connect your systems
we send leads and orders to your CRM, sheet or order system. You identify where your staff need the information to arrive.
- 05
Test the work
your staff run real questions, orders and bookings through a test number. We check handovers and confirm that leads and orders reach the connected systems.
Checklist
What to have ready before we talk
Bring these details so we can discuss the build with you.
- Account accesshave someone at your business hold admin access to its Meta business portfolio.
- A numberchoose one your business owns, with a country and area code, that can receive a verification call or SMS.
- Opt-in wordingidentify where people agree to messages, such as a form or checkout. The wording must name your business and state that they are opting in to messages.
- Your productscheck them against WhatsApp’s restricted categories, including alcohol, tobacco, drugs, healthcare products, gambling and dating services.
- Answer materialgather the business information you want AI replies to draw from, and identify when a person should take over.
Cost & time
What affects the cost and scope of a chatbot
The work changes with the systems you connect and the way staff handle conversations.
Connected systems
a CRM, booking system, order system or payment link adds integration work; usable APIs affect what that work involves.
Staff handover
a simple alert has a different scope from a shared inbox with assignment, notes and reporting.
Message templates
business-started order updates, reminders and offers need templates categorised as marketing, utility or authentication.
Template review
templates are reviewed when created or edited, and only approved templates can be sent. Draft and submit them early in the build.
Avoid
Mistakes to avoid with a WhatsApp chatbot
Messaging without opt-in
confirm that people want messages from your business. Unexpected messages can bring blocks and reports, lowering quality and leading to rate limits.
Putting offers in utility templates
keep utility messages non-promotional. WhatsApp can recategorise a template as marketing when it finds promotional content.
Requesting sensitive numbers
do not ask customers to share full payment card numbers, financial account numbers or personal ID card numbers in chat.
Collecting health details
clinics should keep the bot to bookings and general questions. The policy restricts health information where regulations forbid sharing it on systems without heightened protection.

Page updated 5 November 2026
What affects the cost of a WhatsApp chatbot?
There is no fixed price for the work described here. The choice between fixed menus and AI answers affects content preparation and testing, while the mix of delivered messages affects running costs. Meta sets message rates by category and the recipient’s country code. Define the scope before requesting a quote.
Can I keep using my existing WhatsApp Business app?
Yes. A business already using the WhatsApp Business app can connect that number to the Cloud API through a provider and continue replying to customers individually in the app. Chat history stays in sync. Discuss that route when choosing how your staff will work alongside the chatbot.
Can customers place orders or make bookings in the chat?
Yes. We set up catalogues, order capture and appointment booking inside the chat. WhatsApp Flows also support structured interactions such as lead capture forms and product recommendations, so customers can tap through choices instead of typing every detail. Choose the actions your staff need the chat to handle.
Who owns the work after launch?
You own your domain, content and code, with no lock-in. That gives your business ownership of the work produced for the project. Keep the information and materials you provide organised so your staff can continue to manage the content used by the chatbot after launch.
Can the bot follow up after a customer leaves the chat?
Yes, using an approved template outside the customer service window. That window lasts 24 hours and resets with each new customer message; inside it, the bot can reply freely. WhatsApp can also limit how many marketing templates a person receives across businesses, so an opted-in customer will not receive every message.
What should we review after the chatbot launches?
Review unanswered questions and handovers, then add missing answers or flows. Track conversations, staff handovers, completed orders or bookings and opt-outs against your earlier chat volumes. Also watch template quality: negative feedback or low read rates can lead to a template being paused or disabled, so rewrite or retire problematic messages.
