Client portal development in Saudi Arabia
A client portal gives your customers a secure place to see their status, documents and invoices, while an operations dashboard brings your jobs or orders into view. For a business in Saudi Arabia, we build these tools around the work your clients and staff actually need to do. We are a studio in India, and we start by agreeing the scope with you.

Choosing
Should you use an existing tool or build a custom portal?
Start with the access your clients need. If your process is standard and clients only need basic information, a portal feature inside your existing CRM, project or accounting tool could be enough. It avoids designing a separate product, though your process needs to fit the access the existing tool provides. For staff-only admin screens on existing data, an internal tool builder such as Retool or Appsmith is another option. Per-user licensing and limits on branding make those tools harder to use for client-facing work.
A custom portal fits when clients need access under your own brand, permissions are complex, or available tools only cover part of your process. You can start with a read-only view of status and documents. Letting clients submit requests and uploads adds workflow steps and checks, so there is more to design and build. We will tell you if an existing product fits better. Custom work is worth considering when your process sets you apart or you are paying for several tools that do not talk to each other.
Market
What buyers in Saudi Arabia may need from a portal
The useful view depends on who is signing in. An accounting, legal or consulting firm may need a place for clients to find documents, requests, deadlines and invoices. A construction or property firm may need owners and subcontractors to see project updates, snag lists, photos and documents. Those are different sets of users, with different work to complete.
For manufacturers and distributors, a dealer portal could bring orders, price lists, stock levels and invoices into view. Agencies and training providers may need clients or students to submit work, approve deliverables and check progress. These tasks give you a practical starting point for deciding what belongs on each screen.
What goes into a useful portal
An operations dashboard can put jobs, orders, shipments or bookings in one view. Filters for status, owner and date help staff find the records they need to act on, without searching through a long list. Choose the view around the questions your team needs to answer.
We can set up email or WhatsApp notifications for status changes, reducing the calls and emails asking for updates. An audit trail records who viewed, changed or approved a record. That gives you a record to consult when a client and a member of staff remember an approval differently, or when you need to answer a compliance question.
How it runs
How a portal project runs with us
We work remotely over video calls, WhatsApp and shared project boards. IST is 2h30m ahead, so the shared board gives you a place to review work and leave feedback across the time difference.
- 01
Map the workflow
We talk with the people who run it to find where status lives, who asks for updates and which handovers lose information. Bring the people who know those steps.
- 02
Design the screens
We design the screens and refine them with your feedback before writing code. You can check that the views make sense to the people who will use them.
- 03
Run a pilot
Try the portal with one team or a few friendly clients. Their experience can reveal missing fields and confusing steps before everyone moves over.
- 04
Go live
We import the data, train staff and retire the old spreadsheet. Your team then has one source of truth for the records moved into the tool.
Checklist
What to have ready before we talk
Bring what you already use and the questions your people need answered.
- Current materialsGather the spreadsheets, forms and email templates used in the work, with sample data and notes on the columns people rely on.
- Common questionsList the status questions and document requests that clients and staff raise most often.
- System accessIdentify who can provide admin access to the accounting, CRM or ERP software the portal must connect to.
- Brand detailsHave your logo, colours, portal subdomain and notification email address ready for a client-facing portal.
- Access decisionsList the staff, managers, clients and partners who need access, including any fields they should not see or change.
Cost & time
What affects the cost and timeline
The work involved changes with the access, data and screens you need.
Permissions
More roles, client-specific views and field-level rules add decisions and build work.
Integrations
Connecting accounting, CRM or ERP systems takes more work when their APIs are less clearly documented.
Migration
The volume and condition of existing records affect the work needed to import them.
Client-facing design
Branding, presentation and heavy mobile use add design work compared with an internal-only tool.
Reports
Scheduled reports and custom-formatted exports add work beyond a basic management view.
Avoid
Mistakes to avoid
Copying every spreadsheet column
Keep screens focused on what each role needs to act on, instead of carrying the clutter into the portal.
Leaving permissions until later
Design roles and separation between clients' data from the start, before a client can see another client's records.
Letting status go stale
Decide who updates each status and make that update part of their daily workflow.
Sending too many notifications
Send the changes each role needs to act on and let users choose the rest.

Page updated 5 November 2026
How much does client portal development cost?
There is no fixed price. The scope depends on the roles that need access, the accounting or other systems to connect, and the existing records to import. For example, giving clients and partners different access adds decisions about what each can see. Agree the scope before requesting a quote.
How will clients sign in and see their own information?
We build secure client access so each client sees only their own data. Sign-in can use a password, a one-time link or code by email, or single sign-on with the client's company account. Email links suit people who only need to visit the portal occasionally.
Can the tool handle approvals and management reports?
Yes. We build forms, approvals and task tracking around your process, alongside live reports and exports for finance and management. You can use the workflow to keep track of the work in progress and give the people responsible for reporting an export of the information they need.
Can the portal connect to systems we already use?
Yes. We integrate accounting, CRM, ERP, email and messaging tools through their APIs, and import existing spreadsheets and records. Tell us which systems hold the information the portal needs, so the connections and the records to bring across can be included in the agreed scope.
Who owns the portal after it is built?
You own your code, content and domain, with no lock-in. That gives you ownership of the product and its content as well as the domain it uses. The portal is yours to retain after launch; ownership is not tied to keeping the project with us.
What happens after launch?
We provide ongoing support after launch. You can also measure adoption through log-ins by role, status calls and emails before and after launch, and time spent compiling reports. Usage data can show which screens people avoid and which fields stay empty, helping you decide what to change next.
