Choosing
What kind of chatbot should you build?
Start with the requests you need to handle. A menu-and-button bot suits a small, predictable set of requests, and its paths are easy to audit. It is less helpful when someone asks a question outside those paths. An AI agent that answers from documents suits a wider range of questions when the answers already exist in writing. Your team will need to keep those documents current and test the replies against real questions.
A hosted chatbot platform comes with an inbox and analytics, so there is less to set up. A custom build gives you more control over data, integrations and behaviour, with more work to build and maintain. Think about who will maintain the assistant after launch, as well as what you want it to do on its first day.
An answer-only agent is a lower-risk place to start. Once an agent changes records, issues refunds or takes payments, it needs tighter permissions, confirmation steps and more testing. Choose those actions deliberately: each one changes the work involved and the decisions your staff need to make.
Market
What do customers expect from an assistant?
In Saudi Arabia, an appointment business such as a clinic or salon needs an assistant that can answer common questions and book, move or cancel appointments outside opening hours. Decide which of those requests you want the assistant to handle and which should go to staff.
An online store has a different set of requests: customers ask about order status, delivery and returns, while refunds and complaints need a route to staff. Property, travel and hospitality businesses also receive enquiries at night and at weekends, when waiting until morning to reply can mean a lost lead. These conversations give you a practical place to start defining the assistant’s scope.
Rules
What must a chatbot project handle in Saudi Arabia?
Arabic is the country’s language, so plan for it in the conversation design. We set up an assistant that answers from your approved business documents; prepare the Arabic content you want it to use and agree the wording for its replies and handovers.
Saudi Arabia’s Personal Data Protection Law makes personal data part of the build discussion. We decide what customer data reaches the model provider, whether the provider may use it for training, how long conversation logs are kept and who can read them. Those decisions shape the data flow and access settings for the assistant.
How it runs
How a chatbot project runs with us
We work remotely over video calls, WhatsApp and a shared project board. India is 2h30m ahead, so the shared board gives you a place to review decisions and leave feedback across the time difference.
- 01
Discover
We learn about your business, audience and goals, then agree the scope with you. Share examples of real conversations and name an owner for each topic, so the work reflects questions that actually arrive.
- 02
Design
We prepare screen designs for desktop and mobile and refine them with your feedback before code is written. You can review how the assistant appears and how a person reaches your team.
- 03
Set handover rules
We agree where the assistant stops, such as a complaint, low-confidence answer or request for a person, and what context the staff member receives.
- 04
Test
We use a fixed set of real questions and agreed answers. Your staff mark replies that are wrong, incomplete or risky, and each fix is tested against the whole set.
- 05
Launch in a limited scope
Begin with staff, a channel or a topic, then widen coverage as quality holds. This gives you real conversations to review while mistakes stay contained.
Checklist
What to have ready before we talk
These materials help you define what the assistant should answer, do and pass to your team.
- Real questionsGather common requests and the answers staff give today from emails, chats and call notes.
- Approved documentsCollect FAQs, policies, price lists and manuals, with an owner to keep each source current.
- Off-limits topicsList subjects the assistant must not handle, such as billing disputes, and what it should say instead.
- System accessArrange test accounts or API access for the booking calendar, helpdesk or other systems it will use.
- Handover coverDecide who receives escalations, their working hours and what customers hear when nobody is available.
Cost & time
What affects the cost and time of a chatbot?
The work involved depends on the material you provide and what you ask the assistant to do.
Source material
Scattered, outdated or scanned documents take more preparation than a tidy, current knowledge base.
Connected systems
Each system adds integration work, particularly when it lacks a documented API and needs a workaround.
Tools and permissions
A booking calendar, order lookup or helpdesk needs its own permissions and input checks, plus a decision on human confirmation.
Scope of actions
Answering questions is a lower-risk starting point; changing records or taking payments calls for tighter controls and more testing.
Avoid
Mistakes to avoid with a chatbot
Conflicting sources
Remove old or competing versions of a policy before launch. An assistant repeats the material it is given, so conflicting returns policies produce conflicting answers.
Unsettled processes
Agree how bookings or refunds work before automating them. If staff disagree, the assistant will spread that confusion through its replies.
A hidden route to staff
Make it clear how to reach a person. Customers who cannot get out of a bot loop may leave or complain elsewhere.
Pretending the assistant is a person
Say plainly that it is automated and explain what it can help with, so customers know what to expect when a handover is needed.

Which companies develop AI chatbots?
We develop AI assistants for customers and internal teams. An internal knowledge assistant lets staff ask questions across policies, manuals and documents. Its design needs permission checks so each person sees only documents they are allowed to access; a customer-facing assistant instead needs clear limits on its topics and tone.
Who owns the chatbot and its code?
You own your code, content and domain, with no lock-in. Our agent stack includes Python, vector databases and the WhatsApp Business API, alongside model options such as OpenAI, Anthropic Claude and Google Gemini. The components used for your assistant should reflect the scope agreed for your project.
How much does chatbot development cost?
There is no fixed price. A key driver is whether the assistant only answers questions or also takes actions, since each action adds permissions, confirmation steps and test cases. Conversation volume and model choice also affect ongoing provider charges, which are separate from the build. We agree the scope with you before discussing the work.
Will the chatbot make up answers?
We ground answers in your own content, test against real questions and set limits so the assistant says it does not know when it lacks an answer. Testing also checks what the assistant is allowed to say and do, giving your team a chance to review its behaviour before wider use.
Where can the chatbot run, and how is our data handled?
The assistant can run on your website, WhatsApp, Slack, Microsoft Teams or inside your app. We use AI providers that do not train on your data and limit the assistant’s access to what it needs. Choose the channel where the people you want to help already ask their questions.
What happens after the chatbot launches?
We provide usage insights showing what people ask, what gets resolved and where to improve. Review a sample of conversations, especially unanswered questions and handovers, and compare resolution, handover, ratings and staff time with the period before launch. Rerun the evaluation set after changes to prompts, documents or the model.
