Get a WhatsApp chatbot that answers customer questions, passes conversations to your staff and sends enquiries into your existing systems. For your business in the United Kingdom, we build on the WhatsApp Business Platform, using your own information for answers. We work with you to decide which conversations the chatbot should handle and where a person should take over.

Choosing
Should you use menus or AI answers?
Start with the questions customers ask. A menu-and-button chatbot suits fixed tasks such as checking an order, making a booking or finding opening hours. Customers choose from the options you provide, so your team needs to agree those paths and keep the answers current. AI answers suit more varied questions in customers’ own words. They need prepared source content, testing and clear limits on what the chatbot should answer.
You also have a platform choice. You can build directly on Meta’s Cloud API or use a solution provider. A provider can add billing, integration help and customer support to the messaging service. Direct access gives you a different set of responsibilities to consider when deciding who will handle the platform and its connections.
Decide which number the chatbot will use early. Through a provider, an existing WhatsApp Business app number can be connected to the Cloud API while you continue one-to-one replies in the app, with chat history kept in sync. Standard registration works differently: a number already in use with WhatsApp must be deleted from WhatsApp before platform registration. We learn about your business and agree the scope with you before design and build begin.
Rules
What a United Kingdom chatbot project has to handle
Your chatbot will handle information from people who contact your business, so the UK data protection framework is relevant to the build. We set up a published privacy policy and plan the notices and consents needed alongside the conversation. WhatsApp’s Business Messaging Policy requires a published privacy policy as well as the notices and consents that applicable law demands. This gives you a clear place to direct customers for privacy information as part of the service.
How it runs
How a WhatsApp chatbot project runs with us
We work remotely from India, using video calls, WhatsApp and a shared project board. IST is 5h30m ahead of the United Kingdom, or 4h30m during British Summer Time, from the last Sunday in March to the last Sunday in October. The shared board gives you a place to leave feedback and review work across that difference.
- 01
Discover
We learn about your business, audience and goals. You tell us which customer conversations you want to handle, and we agree the scope together before moving into the build.
- 02
Set up the platform
We arrange the WhatsApp Business API setup through an official provider, including the number, verification and message templates. You provide the business details needed for the setup.
- 03
Register the display name
You choose the name customers should see. The name appears at the top of chats and in the chat list only after Meta approves it through display name verification.
- 04
Test the work
Your staff run real questions, orders and bookings through a test number. We check the handovers to a person and confirm that leads and orders reach the connected systems correctly.
Checklist
What to have ready before we talk
Bring the details that will shape the number, conversations and messages.
- A business-owned phone number, including country and area code, that can receive a voice call or SMS for verification.
- Your opt-in wording and where you collect it, such as a website form, checkout or paper form. It must name your business and state that the person is opting in to messages.
- A list of the questions customers ask most, so we can organise the replies into easy-to-follow conversations.
- Details of what you sell, so restricted categories can be checked. These include alcohol, tobacco, drugs, medical and healthcare products, gambling and dating services, with limited exceptions.
- The lead-capture or product-recommendation choices you want customers to tap through inside the chat.
Cost & time
What affects the cost and timeline of WhatsApp chatbot development
The scope determines how much design, connection and testing work is needed.
Answer type
Fixed menus have different content needs from AI answers, which need your source material prepared, tested and given clear limits.
Connected systems
A CRM, booking system, order system or payment link adds integration work. The availability of usable APIs affects that work.
Catalogue
The number of products and how often prices and stock change affect the work, including whether product data needs to sync automatically.
Staff handover
An alert to your team has a different scope from a shared inbox with assignment, notes and reporting. Decide what staff need to see and manage.
Avoid
Mistakes to avoid with a WhatsApp chatbot
Sending unexpected messages
Collect an opt-in that confirms the person wants messages from your business. Blocks and reports can lower quality and lead to rate limits.
Missing an opt-out
Respect requests to stop messages, whether they arrive on or off WhatsApp, and remove the person from your contact list.
Hiding human help
Give customers a prompt, clear escalation path, such as an in-chat transfer, phone number, email address or support form.
Collecting sensitive numbers in chat
Do not ask customers to share full payment card numbers, financial account numbers or personal ID card numbers.

How much does a WhatsApp chatbot cost?
There is no fixed price. The main drivers include whether you need AI answers, the catalogue and booking work inside chat, and connections that send leads or orders to your systems. We send you a free quote once the scope is agreed, so you can see what the proposed work covers before deciding.
When can a chatbot reply or send a message?
It can reply freely during the customer service window. That window opens when a customer messages you and resets with each new customer message. Outside it, only approved templates can be sent. Business-started messages such as reminders, order updates and offers use templates categorised as marketing, utility or authentication.
Can we build a general-purpose AI assistant on WhatsApp?
Meta’s platform terms bar AI providers whose primary offering is AI, such as a general-purpose assistant. AI that is incidental or ancillary to your own service falls outside that ban, with Meta deciding which is which. The distinction helps you define the chatbot’s purpose before commissioning its answers.
Will we own the chatbot code?
Yes. You own your code, content and domain, with no lock-in. Agreeing the scope gives you a chance to identify the content and code involved in the chatbot before work starts, so your team has a clear view of what belongs to you after the build.
What should we review after launch?
Review unanswered questions and handovers regularly, then add missing answers or flows. Track conversations started, those resolved without staff, handovers, completed orders or bookings and opt-outs. Comparing those measures with chat volumes before the chatbot gives you a practical basis for deciding what to change.
Will our WhatsApp account get a blue checkmark?
A blue checkmark requires Official Business Account status; it does not come automatically with a chatbot. A request needs a verified business portfolio, two-step verification, an approved display name and policy compliance. Meta reviews each request and can deny it, so account setup and checkmark approval are separate decisions.
