Choosing
Should you choose a menu bot or an AI agent?
Start with the questions and tasks you want to handle. A menu-and-button bot fits a short, predictable set of requests, and its paths are easy to audit. Its limit is flexibility: someone whose question falls outside the menu can get stuck. An agent that answers from documents suits questions phrased in different ways when the answers already exist in writing. It needs an owner for the knowledge base and tests using real questions.
A hybrid approach gives people buttons for structured tasks such as booking or checking an order, while accepting free-text questions as well. Your team remains available behind both routes. This fits a support desk dealing with routine requests alongside unusual ones, though it means planning both the button paths and the answers the AI gives.
Consider starting with answers only. When an agent changes records, issues refunds or takes payments, each action needs tighter permissions, confirmation steps and more testing. Public and internal agents also need different controls: a customer-facing agent needs limits on its topics and tone, while an internal assistant needs to respect staff access to documents. We learn about your audience and goals with you, then agree the scope together.
Rules
What an agent for the United Kingdom has to handle
Online stores need answers about order status, delivery and returns, with refunds and complaints passed to staff. Software companies need support drawn from help articles and a ticket when the agent cannot resolve a question. Firms with extensive policies, manuals or contracts need staff to find answers without seeing documents outside their permissions.
UK GDPR and the Data Protection Act 2018 govern data protection in the UK, so customer data and conversation logs need decisions in the build. We set what reaches the model provider, who can read logs and how long those logs are kept. We also use providers that do not train on your data and limit the agent’s access to what it needs.
How it runs
How an agent or chatbot project runs with us
We work remotely over video calls, WhatsApp and shared project boards. IST is 5h30m ahead of UK time, or 4h30m during British Summer Time, from the last Sunday in March to the last Sunday in October. Shared boards give you a place to review work and leave feedback across that difference.
- 01
Discover
We learn about your business, audience and goals. You share examples of real conversations and name an owner for each topic, so the agreed scope reflects the questions that reach your team.
- 02
Design
We prepare screen designs for desktop and mobile and refine them with your feedback before code starts. You can review how people will find the assistant and move through its screens.
- 03
Build
We connect the sources, write the agent’s instructions and set its limits. You review draft answers for accuracy and tone before anyone outside your organisation sees them.
- 04
Launch
We begin with a limited release, such as staff access, a single channel or a single topic. That lets you see real behaviour while mistakes stay contained; coverage widens as quality holds.
Checklist
What to have ready before we talk
Bring what you have; these items help us agree a useful scope.
- Real questions and answersGather examples from emails, chats and call notes, including the replies your staff give today.
- Answer sourcesCollect the FAQs, policies, price lists or manuals the agent may use, and name an owner to keep each current.
- System accessIdentify test accounts or API access for the booking calendar, CRM, helpdesk or order database the agent needs.
- Handover arrangementsDecide who receives escalations, their working hours and what customers hear when nobody is available.
- Data rulesBring your decisions on data sent to outside providers, log retention and who may read conversations.
Cost & time
What affects the cost and timeline
The scope determines the work involved in preparing, connecting and testing your agent.
Source material
Scattered, outdated or scanned documents take more preparation than a current, organised knowledge base. Each source needs to be ready for the agent to use.
System connections
Each system adds integration work. A documented API gives us a clearer route than a system that needs a workaround.
Actions
An agent that changes information needs permission design, confirmation steps and test cases for each action, adding work beyond answering questions.
Usage
Conversation volume and model choice affect the provider’s ongoing usage charges, which are separate from the build. The model choice is part of the scope discussion.
Avoid
Mistakes to avoid with agents and chatbots
Testing without a fixed question set
Agree expected answers for a set of real questions. You can then check whether a prompt or model change made performance better or worse.
Leaving conflicting sources in place
Clean up old and duplicate policies before launch. Two versions of a returns policy can produce different answers.
Hiding the route to staff
Give every conversation a clear way to reach a person, so customers are not left going round in a bot loop.
Giving tools broad access
Limit the actions, amounts, records and frequency available to each tool, and log every action the agent takes.

What companies develop AI chatbots?
We develop AI chatbots for business use, including assistants that answer from your own content. Our stack includes OpenAI, Anthropic Claude, Google Gemini, vector databases, the WhatsApp Business API and Python. An agent can run on a website, WhatsApp, Slack, Microsoft Teams or inside your app; the right location follows from where people need help.
How much does an AI chatbot or agent cost?
There is no fixed price. The scope depends on the documents the assistant needs to answer from and the actions you want it to take, such as booking appointments, looking up orders or updating records. We send a free quote once the scope is agreed, so you can review the proposed work before deciding.
Will the agent make up answers?
We ground answers in your own content and set limits so the agent says it does not know when an answer is missing. We also test against real questions. Tell people plainly that they are speaking to an automated assistant and what it can help with, so they know what to expect before a handover.
How do you protect our data?
We use AI providers that do not train on your data and limit the agent’s access to what it needs. Before the build, decide which customer information is suitable for an outside provider. Those decisions shape what the assistant can receive and which information it can use when answering a question.
Can an agent take action in our systems?
Yes. An agent can call tools such as a booking calendar, order lookup or helpdesk. Each tool needs its own permissions and checks on the information submitted to it. We also decide with you whether a person should confirm an action first, so the agent’s authority matches the task.
What happens after the agent launches?
Review a sample of conversations regularly, especially unanswered questions and handovers, and use the usage insights we provide to identify improvements. Compare resolution, handover, customer ratings and staff time with the period before launch. Rerun the agreed evaluation set after changes to prompts, documents or the model version.
