Choosing

Should you use an existing tool or build a portal?

Start with the access your clients need. If your process is fairly standard and clients only need basic access, the portal features in your existing CRM, project or accounting tool could fit. That keeps the work centred on a system you already use. If the process needs its own screens and steps, a custom portal gives you more room to shape them.

For a staff-only admin screen built on existing data, an internal tool builder such as Retool or Appsmith is another option. Check its per-user pricing and branding limits before choosing it for client-facing work. A custom build has a different scope: you decide what the screens need to do as part of the project.

You can also choose how much clients do. A read-only portal for status and documents is a smaller first step. Letting clients submit requests and upload files adds workflow and checks, so there is more to design and build. We will tell you if an existing product fits your process better than custom software.

Market

What clients expect from portals in the United Kingdom

What your clients expect to see depends on the work you do together. Freight, logistics and courier businesses need shipment tracking and document downloads that reduce the need for calls. Construction and property firms need a place to share project updates, snag lists, photos and documents with owners and subcontractors.

For manufacturers and distributors, a dealer portal needs to make orders, price lists, stock levels and invoices available. Agencies and training providers have a different set of actions to support: clients or students need to submit work, approve deliverables and see progress. Start with the information and actions your own users ask for, then shape the screens around those tasks.

Rules

What a portal project in the United Kingdom has to handle

If your portal holds personal data, the UK GDPR and Data Protection Act 2018 are relevant to how access is designed. We set up roles and permissions for staff, managers, clients and partners, including field-level access where needed, so the design accounts for who can see and change information.

Accessibility also belongs in the screen design. Equality Act guidance says organisations providing services through a website must make reasonable adjustments for disabled people. We include those adjustments in the portal design and agree what users need to be able to do on its screens.

How it runs

How a portal project runs with us

We work remotely over video calls, WhatsApp and shared project boards. IST is 5h30m ahead, or 4h30m during British Summer Time, from the last Sunday in March to the last Sunday in October. The shared board gives both sides a place to keep work and feedback visible across that difference.

  1. 01

    Discover

We learn about your business, audience and goals, then agree the scope with you. Tell us which parts of the work are causing repeated questions or handovers.

  2. 02

    Map the workflow

We speak with the people who run it to find where status lives, who asks for updates and where handovers lose information.

  3. 03

    Design and build

We prepare desktop and mobile screen designs for your feedback before coding, then build and test on real devices and browsers. Launch setup and ongoing support are part of our process.

  4. 04

    Pilot

Try the portal with one team or a few friendly clients. Their experience helps reveal missing fields and confusing steps before everyone moves over.

  5. 05

    Move over

At go-live, data is imported and staff are trained. The old spreadsheet is retired so people have one source of truth.

Checklist

What to have ready before we talk

Bring a picture of your process and the tools you already use, so we can assess what fits.

  • Gather the spreadsheets, forms and email templates used today, with sample data and notes on the columns people rely on.
  • List each role, what it needs to see and do, and what it must not see.
  • Note the questions clients and staff ask most often; these help shape dashboards and notifications.
  • Identify who can provide admin access to accounting, CRM or ERP systems that need to connect.
  • Decide who will update each status and how that update will fit into their daily work.

Cost & time

What affects the cost and timeline of a portal?

The scope depends on what users need to do, what data you have and which existing systems the portal must connect to.

  • Workflows

Forms, approvals and task tracking need to reflect the way your process works.

  • Access

Roles for staff, managers, clients and partners add rules to define and build.

  • Integrations

Connections to accounting, CRM, ERP, email or messaging tools require work through their APIs.

  • Migration

Existing spreadsheets and records need to be prepared and imported.

  • Reporting

Finance and management requirements shape the reports and exports we build.

Avoid

Mistakes to avoid when building a portal

  • Copying every spreadsheet column

That carries clutter into the new screens. Show each role the information it needs to act on.

  • Leaving permissions until late

This risks exposing one client’s data to another. Design roles and data separation from the start.

  • Sending too many notifications

People start to ignore them. Send changes each role needs to act on and let users choose the rest.

Questions

Asked by businesses in United Kingdom

Page updated 5 November 2026

What does client portal development cost?

There is no fixed price. The main drivers include the roles and permission rules, the workflows and approval steps, and the integrations with existing systems. Client-specific views, exceptions in a workflow and poorly documented APIs all affect the work involved. Once the scope is agreed, ask us for a quote.

How will clients log in and see only their own information?

We build secure client access so each client sees only their own data. Login choices include a password, a one-time link or code sent by email, or single sign-on with the client’s company account. Email links suit people who only need to use the portal occasionally.

Can the portal handle sensitive documents?

Yes. Document handling can include uploads, versions and access-controlled downloads, with expiring links for sensitive files. An audit trail can also record who viewed, changed or approved a record. That gives you a way to check what happened when a question or dispute arises.

What can staff see on an operations dashboard?

An operations dashboard can bring jobs, orders, shipments or bookings into one view. Staff can filter that view by status, owner and date, so they can find the work they are responsible for without sorting through the whole list. The useful view will depend on the work your team manages.

Who owns the portal after it is built?

You own your code, content and domain, with no lock-in. That means ownership is part of the arrangement from the outset, so you can discuss your plans for the portal with us as you agree the work and decide what you need to manage after launch.

How do we tell if people are using the portal?

Measure adoption by looking at log-ins by role, status calls and emails before and after launch, and the time spent compiling reports. Usage data also shows which screens people avoid and which fields stay empty. Those details help you decide what to change in the next round of work.
