Choosing
Should you buy software or build it?
Start by separating standard work from the process that makes your business different. Off-the-shelf products fit established tasks such as accounting, payroll and email. Custom software becomes useful when your own process has steps that those products do not cover, or when work gets stuck in the gaps between several tools. A hybrid approach keeps a product such as your accounting system and connects it through its API to a custom-built workflow. That limits what needs to be built while retaining a connection to the records your team already uses.
Low-code platforms such as Airtable, Zoho Creator and Retool suit simpler workflows and small teams. Check the trade-offs before choosing one: complex rules can be harder to accommodate, per-user licences can grow, and moving data out later needs consideration. A custom build gives you room to specify the workflow and its rules, with more of that work needing to be designed and built for your business.
You do not have to replace everything at once. Starting with a single workflow lowers risk and gives you something useful to assess; a full replacement is more appropriate when an old system is failing or being withdrawn. We map your process with you and scope the first version around the work that saves the most time.
Rules
What a software project in New Zealand has to handle
Accountants, lawyers and consultants need job or case tracking, document storage and time records tied to billing. Multi-branch and franchise businesses need a consistent process at each branch and reporting across them. We use those needs to shape the records and workflows your software must support.
GST applies to most goods and services, so an invoicing workflow needs to account for it. We set up the relevant invoice fields and connect the workflow to your accounting tool. For personal information, the Privacy Act governs collection, storage, use and sharing; we set up logins and permissions for the records your team handles. Where information comes from someone other than the individual, we also set up a notice step, with applicable exceptions considered.
How it runs
How a custom software project runs with us
We work remotely over video calls, WhatsApp and a shared project board. India is 6h30m behind New Zealand, or 7h30m during daylight time there. The shared board gives you a place to leave feedback and keep track of work between conversations.

Discover
We map who does each step, which documents and approvals they use, and where work waits. You introduce us to the people doing the work as well as their managers, so we can see workarounds that process documents leave out.
- 02
Design
We prepare screen designs before writing code. You review them and tell us what needs to change, so the proposed screens reflect the work your team needs to do.
- 03
Build
We develop in small increments and show you demos. You test each increment with real cases from your business and decide what needs changing before the next one.
- 04
Launch
We handle the launch setup and ongoing care. Before go-live, data is migrated and checked and staff are trained; the old and new systems can run side by side until their figures match.
Checklist
What to have ready before we talk
Bring the material and people that show how the work actually happens.
- Current documentsGather spreadsheets, forms, templates and sample records, with notes on the columns people use.
- Priority problemsRank lost hours, errors, late jobs or missed revenue to help decide what the first version covers.
- Tool accessArrange admin access, or a contact who has it, for accounting, CRM and email connections.
- PeopleName a decision maker and a staff member who will test, give feedback and help colleagues adopt the system.
- Reporting questionsList what you need to know, such as overdue jobs, stock on hand or margin by customer.
- Record relationshipsNote the statuses and links between records; these shape which reports are possible later.
Cost & time
What affects the cost and timeline
The work behind the screens shapes the scope and the time needed to deliver it.
Workflows and approvals
More workflows, roles and approval steps increase the work more than the screen count alone suggests.
Exceptions
Pricing tiers, approval limits and branch-specific steps add business logic and cases to test.
Existing data
Large or messy migrations, especially with long histories, need more cleaning and checking before import.
Security and review
Detailed logs, retention rules or single sign-on add requirements to design and build.
Avoid
Mistakes to avoid
Copying the spreadsheet screen for screen
Review the process first, then build the simplest system that supports the improved way of working.
Leaving permissions until late
Define who needs access while screens are being designed, so the team does not have to redo work or expose records to the wrong people.
Scoping every feature at once
Focus the first version on the biggest bottleneck. What your team learns from using it can shape the next phase.
Importing data unchanged
Clean and check records before import, so old errors do not become part of the new system.
Questions
Asked by businesses in New Zealand
Page updated 5 November 2026
How do I choose a software development company?
Choose a company that gives you direct access to the people designing and building your software. Ask how you will discuss the work with them, share feedback and make decisions. Direct conversations give you a way to explain the details of your process to the people working on it.
What does custom software development cost?
There is no fixed price. Offline field access or a mobile app adds another front end to build and test; migrating records involves cleaning duplicates and mapping columns; and roles and audit trails need decisions about access and history. Once we agree the scope, you can ask us for a quote.
What can the software include?
It can include a shared system for data that currently sits in spreadsheets or an old desktop database. Permissions and history give your team a way to work with those records together. The first step is to identify which shared records your staff need and how they use them.
Is browser-based software a good fit?
It is a practical option when your team needs to use the same software on desktops, tablets and phones. It runs in a browser, with nothing to install, and updates reach users at once. For hosting, managed cloud reduces server upkeep, while a private server or specific cloud region can suit stricter IT or data-location requirements.
Will I own the software?
Yes. You own your code, content and domain, with no lock-in. Discuss ownership and handover when you agree the scope, so you know which parts of the product you will hold and can make decisions about them after the software goes live.
What happens after launch?
We provide fixes, improvements and new features after launch. To judge what has changed, take a baseline before launch for measures such as time per task, error counts, turnaround and status queries. Compare those measures once your team has settled into the new system.
