Choosing
Should you use a chatbot platform or build a custom agent?
A hosted chatbot platform suits you when you want an inbox and analytics included in the setup. A custom agent gives you more control over data, integrations and behaviour, but leaves more for you and your development partner to build and maintain. Start by listing the systems the assistant needs to reach and the controls your team needs over its answers.
An agent that answers from documents fits questions that vary in wording when the answers already exist in writing. Your team needs to maintain those sources and test the agent with real questions. If your support desk handles a mix of routine and unusual requests, a hybrid design offers buttons for tasks such as order status and AI for free-text questions, with a person behind both.
The audience changes the design. A customer-facing agent needs clear limits on its topics and tone; an internal assistant needs permission checks so staff see only documents they are allowed to access. Choose the audience and the tasks first, then assess how much control you need from the platform or custom build.
Market
What buyers in New Zealand expect from an assistant
The right tasks depend on how you serve customers. If you run an online store, people need order status, delivery and returns answers connected to the order system, with refunds and complaints passed to staff. An appointment business needs common questions answered alongside booking, moving or cancelling appointments outside opening hours.
Property, travel and hospitality enquiries also arrive at night and at weekends, when a delayed reply can mean a lost lead. For a firm with extensive policies, manuals or contracts, the audience may be your own staff. In that case, document access needs to follow each person’s permissions, so an answer does not expose material they should not see.
Rules
What your New Zealand AI agent project has to handle
The Privacy Act 2020 governs how agencies collect, store, use and share personal information. For your assistant, that affects the information sent to the model provider and the conversation records your team keeps. We set up limits on what reaches the provider and plan who can read logs and how long they are kept.
If you collect personal information from someone other than the individual, information privacy principle 3A requires reasonable steps to make the individual aware of specified matters, unless an exception applies. We plan a notice route for that collection as part of the build.
How it runs
How an AI agent project runs with us
We work remotely from India using video calls, WhatsApp and shared project boards. IST is 6h30m behind, or 7h30m during New Zealand daylight time, from the last Sunday in September to the first Sunday in April. We keep decisions and feedback on the shared board so work can move between conversations.
- 01
Discover
We learn about your business, audience and goals with you, then agree the scope. Bring the questions you want the assistant to handle and the tasks your staff would keep.
- 02
Build and review
We connect approved sources and write the agent’s instructions and limits. You review draft answers for accuracy and tone before people outside your organisation see them.
- 03
Test
We use a fixed set of real questions and agreed answers. Your staff mark replies that are wrong, incomplete or risky, and we retest each fix against the full set.
- 04
Launch in a limited setting
We start with staff, a channel or a topic so you can see actual behaviour while mistakes stay contained. Coverage widens as quality holds.
- 05
Retest changes
After a prompt, document or model version changes, we rerun the evaluation set. You can check that a correction in one area has not broken an answer elsewhere.
Checklist
What to have ready before we talk
Bring what you have; these details help define the assistant’s boundaries and connections.
- Approved sourcesGather FAQs, policies, price lists or manuals, and name an owner to keep each current.
- Excluded topicsList subjects the agent must avoid and what it should say instead.
- System accessArrange test accounts or API access for the calendar, helpdesk or other systems it will use.
- Handover routeDecide who receives escalations, their hours and what customers hear when nobody is available.
- Data rulesSet out what can go to an outside AI provider, log retention and who may read conversations.
Cost & time
What affects the cost and time for an AI agent?
The work depends on the material, connections and accuracy you need, as well as the usage after launch.
Source documents
Scattered, outdated or scanned material needs more preparation than a current, tidy knowledge base.
System connections
Each connection needs work; a documented API and a system needing a workaround create different demands.
Accuracy requirements
High-stakes or regulated topics call for larger test sets, more review and tighter limits on answers.
Model usage
Conversation volume and model choice affect ongoing provider charges separately from the build itself.
Avoid
Mistakes to avoid with AI agents and chatbots
Skipping an evaluation set
Keep questions and expected answers on record so you can tell whether a prompt or model change improves or worsens replies.
Leaving conflicting sources
Clean up duplicate or outdated policies before launch. An assistant given different versions can repeat different answers.
Automating an unsettled process
Agree how staff handle bookings or refunds first, so the agent does not spread existing confusion.
Presenting the agent as a person
Say plainly that it is an automated assistant and explain what it can help with, including when a conversation goes to staff.

Page updated 5 November 2026
Which companies develop AI chatbots?
You can hire MSH Technologies, a web, app and AI development studio in India, to build an assistant for your business. Our agent stack includes OpenAI, Anthropic Claude and Google Gemini, alongside vector databases, the WhatsApp Business API and Python. The choice of tools follows the work you need the agent to do.
How much does an AI chatbot cost?
There is no fixed price for every agent. The scope depends on the tasks it performs, the systems it reaches and the controls those actions need. An answer-only assistant is a lower-risk place to start; actions that change records need tighter permissions and confirmation. Ask us for a quote once the scope is agreed.
Where can an agent work for my team and customers?
An agent can run on your website, WhatsApp, Slack, Microsoft Teams or inside your own app. For an internal team, we also build knowledge assistants that let staff ask questions across policies, manuals and documents. Choose the channel around where the people using it already work or ask for help.
How do you stop the agent from making up answers?
We ground answers in your own content, test against real questions and set limits so the agent says it does not know when an answer is missing. Handover rules also define when it stops and passes the conversation to staff, including the context the staff member receives.
Who owns the work and how is our data protected?
You own your domain, content and code, with no lock-in. For the assistant itself, we use AI providers that do not train on your data and limit its access to what it needs. That gives you an ownership position to consider alongside the access you approve for the agent.
How do we improve the agent after launch?
We provide usage insights showing what people ask, what gets resolved and where to improve. Review a sample of conversations regularly, especially unanswered questions and handovers: those records can reveal missing content and new topics your customers are raising. Your team can then decide which answers or sources need attention.
